Email Management: Domain Authorization for sending email

 
This service allows you to authorize the sending of emails from email accounts created in a hosting environment in order to send on behalf of an external domain.
 
This allows external domains that are not in your cdmon account to be authorized to perform these sends. In this guide we show how to access and manage domain authorization from the control panel.
 
First of all, you must access the hosting management where you want to add this authorization. In the “Email” section, go to “Domain authorization”
 

When accessing it, a list of already authorized or pending authorization domains for that hosting will appear. To start the process, click on “Add domain”:
 
 
From this screen, you can enter the domain name you want to add:
 
 
Once you add the domain, the panel will display a message like the following, indicating the steps to follow to validate this domain:
 
 
Once you accept the message, you will return to the list of authorized domains and see the domain you added as pending validation. You can reopen the validation window if you did not copy it before by clicking on the icon in the “Actions” section:
 
 
The validation window will open again to verify domain ownership. Now it is time to create a TXT record with the text shown. You must do this in the DNS management of the external domain. How to configure a TXT record
 
 
To create the record, you must access the DNS management of that hosting. From the basic services list, you can access it:
 
 
From here you will be able to see all DNS records created for your domain. In this case, click on "New record" and create a TXT record with the value provided by the panel in the previous step:
 
 
Note: It is very important to create the TXT record under the subdomain domauthvalidation as shown in the image, otherwise the panel will not be able to find this information.
 
Once the record has been created and propagated (you must wait several minutes/hours for propagation), you will be able to verify domain ownership. Go back to the verification window and click on the “Verify” button.
 
If all steps are completed correctly, the domain will be added to the list of authorized domains for that hosting:
 
 
How to add authorized email accounts
 
Once the domain is authorized for sending emails under that hosting, you must add the email accounts that will be authorized. To do this, go to the icon in the “Actions” section:
 
 
From there, manually enter the names of the accounts you want to add and click on “Save” to apply the changes:
 
 
If detected correctly, the panel will show that the email accounts have been added successfully:
 
 
Finally, if you want to remove a domain from the list of authorized domains for sending emails in that hosting, go to the domain list and click on the last icon in the actions column, the red cross. You will need to confirm the action:
 
 
Scenarios and conflicts with authorized sending
 
If you do not correctly configure the TXT record to validate the external email account, you may encounter an SMTP outgoing server error when sending emails. Example of an error when sending an email from SOGo without proper validation:
 
 
Another situation may be receiving a "Sender address rejected" message if you try to reply from a different address than the one receiving the email.

To avoid security issues when replying to emails, it is important to reply from the same address that received the message, meaning you should avoid modifying the FROM (origin address) to reply using a different identity.
