A template is a predefined email that can be reused as many times as needed, allowing you to compose messages more quickly without having to write the same content every time. It can include text, links, or even images.
In this guide, you will learn step by step how to create and use templates in SOGo. If you do not yet know how to access your SOGo account, please first consult the guide:
How to access your email account from SOGo
Log in to your email account in SOGo. Once inside, make sure you are using the account from which you want to create the template.
Click the Compose button to create a new message.
In the message editor, write the content you want to save as a template. Include all the text, links, or images you want to appear in the template.
You can temporarily enter an email address in the recipient field, for example, the same account you logged in with, just so you can save the draft.
Now save the email as a draft. Once the content is ready, click the Save icon.
The message will automatically be moved to the Drafts folder.
Move the email to the templates folder
From the Drafts folder, locate the message you want to use as a template. Select it and click the Move to icon.
Select the Templates folder, which already exists by default in SOGo.
The message will now be available in the Templates folder.
Use the template to compose a new message
Go to the Templates folder and select the template you want to use. On the right-hand side, where the email content is displayed, click Create a new draft from this template.
The message editor will open with the template content already loaded.
- You can remove the email address that was temporarily entered as the recipient so that the new message does not have a default recipient (if you saved the template with a specific recipient).
Write the rest of the message as needed and send it.
With this, your template system is now configured and ready to help streamline the writing of frequent emails in SOGo.
To use the template, simply open the Templates folder and select the message you want to use.
